Proposal 2008-08: Definition of subfield $z in field 017

1. BACKGROUND

Most libraries in Spain currently use an adapted version of the MARC 21 bibliographic, authority and holdings formats called IBERMARC. The Biblioteca Nacional de España is currently implementing a new ILS system. Because of this and the acknowledged benefit of internationalization and standardization of bibliographic, holding and authority records, the Biblioteca Nacional de España had to convert its data into MARC 21.

2. DISCUSSION

2.1 Current definition of field 017

Field 017 is currently defined in the MARC 21 Format for Bibliographic Data as follows:

2.2 Definition of subfield $z (Canceled/invalid Copyright/legal deposit number)

The Biblioteca Nacional de España and other Spanish libraries currently code canceled/invalid legal deposit numbers in IBERMARC field 019 subfield $z. In order for these institutions to continue their current practice of recording canceled and invalid legal deposit numbers, a similar subfield may be defined in MARC 21 field 017 (Copyright or legal deposit number) for canceled/invalid copyright/legal deposit number. A single repeatable subfield may be used for both canceled and invalid copyright/legal deposit numbers, like subfield $z (Canceled/invalid standard number or code) in field 024 (Other standard identifier), field 016 (National Bibliographic Agency Control Number), 020 (ISBN), and other number fields.

2.3 Definition of field 017 (Copyright or legal deposit number) in the MARC 21 holdings format

The Biblioteca Nacional de España and other Spanish libraries code one bibliographic record for different reprints of the resource. A resource is considered to be a reprint when it is a new edition reproducing the text of an earlier one as exactly as possible; or a new impression made, or derived from, the same master as an earlier one. IBERMARC holdings records are then coded with the different legal deposit numbers of each copy. Currently, field 017 (Copyright or legal deposit number) is defined only in the MARC 21 bibliographic format. However, to allow the Biblioteca Nacional de España and other Spanish libraries to continue its coding practices, field 017 (Copyright or legal deposit number) needs to be defined in the MARC 21 holdings format.

2.3.1 Example

Note: The occurrence of field 852 (Location) subfield $j (Shelving control number) in both holdings records shows that the first edition is shelved in a different location from the reprint.
