Participants felt that the proposal should be referred back to the UK book vendors for clarification of the terms, "Foreign" and "Domestic" in field 363. Clarification on the use of subfield $d (Unit of pricing) in field 363 was also requested. It was also suggested that a subfield be added to field 363 to indicate the country to which the price applies. Further comments may be sent to LC to incorporate into a revised proposal.

Participants felt that the proposed name for field 366 should be revised to provide a clearer indication of the data recorded in it. The name "Trade availability information" was suggested. Participants also felt that field 366 subfield $e should be renamed "Note" as it is broadly defined to include generalized notes relating to trade availability information.

PROPOSAL No. 2002-14/9R: Definition of Fields 365 (Trade Price) and 366 (Trade Information)

1. BACKGROUND

Proposal 2002-14/09 was discussed in June 2002 as part of the larger proposal, "2002-14: Changes for UKMARC Format Alignment." Participants felt that the proposal should be referred back to the UK book vendors for clarification of the terms, "Foreign" and "Domestic" proposed as indicator values in field 363. Clarification on the use of subfield $d (Unit of pricing) in field 363 was also requested. Several participants suggested that a subfield be added to field 363 to indicate the country to which the trade information applies. Because it was proposed that field 363 be defined as Article level designation in MARC proposal 2003-03, the tags proposed for Trade price and Trade information have been changed to fields 365 and 366, respectively. These changes are presented below.

2. DISCUSSION

There is a precedent for coding acquisition information in the bibliographic record, however, it is currently minimal. A price may be recorded in field 020 subfield $c (Terms of availability) as a qualifier to the ISBN (or even if no ISBN is present). It is free text and multiple prices may be expressed in a single occurrence of the subfield for it is not repeatable. In accordance with AACR2 1.8D1, the currency may be expressed by either the appropriate symbol, which can be ambiguous, or a currency abbreviation. The terms of availability may be expressed as free text.

Field 037 (Source of acquisition) is intended for use by libraries to record the agency from which the items may be acquired, along with the price. Subfield $c (terms of availability) is for a free text price. Multiple prices may be expressed by repeating subfield $c.

Unfortunately, neither of these fields provides an adequate structure to support the established requirements of UKMARC users in the book trade. These requirements are the ability to express price, currency and type of price as specified in the proposed field for Trade price (field 365). This information was previously coded in the UKMARC 355 (UK price) and 356 (Overseas price) fields. It is similarly needed in the MARC 21 bibliographic format.

Moreover, UKMARC 358 field (Trade information) contained detailed information relating to the availability of items from publishers. Since this field was primarily used by UKMARC users in the publishing business, there is need to add a similar field to the MARC 21 bibliographic format.

2.1. Definition of Field 365 for Trade Price

Field 365 for trade price could be defined in the bibliographic format as follows:

365 Trade Price (R)
This field is intended primarily for use by the book trade to record the current price of an item. It is also used to record the special export price of an item in any currency, including the local currency.

$a - Price type code (NR)
Subfield $a contains a code indicating the type of price recorded in subfield $b. The source of the code is recorded in subfield $2.

$b - Price amount (NR)
Subfield $b contains the numeric price.

$c - Currency code (NR)
Subfield $c contains a code indicating the currency of the price recorded in subfield $b. It is recorded according to ISO 4217, Codes for the Representation of Currencies and Funds.

$d - Unit of pricing (NR)
Subfield $d contains a code indicating the unit of the product to which the price recorded in subfield $b applies. The codes are as follows:

00 - Per copy of whole product [default value]
01 - Per page for printed loose-leaf content only.

$e - Price note (NR)
Subfield $e contains a free text note.

$f - Price effective from (NR)
Subfield $f contains the date from which a price recorded in subfield $b becomes effective. It is recorded in the format yyyymmdd in accordance with ISO 8601, Representation of Dates and Times. Subfield $f is used when subfield $a indicates a special sale price or prepublication price.

$g - Price effective until (NR)
Subfield $g contains the date until which the price recorded in subfield $b remains effective. It is recorded in the format yyyymmdd in accordance with ISO 8601, Representation of Dates and Times. Subfield $g is used when subfield $a indicates a special sale price or prepublication price.

$h - Tax rate 1 (NR)
Subfield $h contains information about the first value added tax.

$i - Tax rate 2 (NR)
Subfield $i contains information about the second value added tax.

$j - ISO country code (NR)
Subfield $j contains a code for the country to which the price recorded in subfield $b applies. The code is in accordance with ISO 3166-1, Codes for the Representation of Names of Countries.

$k - MARC country code (NR)
Subfield $k contains a code for the country to which the price recorded in subfield $b applies. The code is in accordance with the MARC Code List for Countries.

$m - Identification of pricing entity (NR)
Subfield $m contains an identification of the company or agency establishing and offering the prices.

$2 - Source of price type code (NR)
Subfield $2 contains a MARC code that identifies the source of the price type code recorded in subfield $a. The source of the MARC code is MARC Code Lists for Relators, Sources, Description Conventions that is maintained by the Library of Congress.

Field 366 for trade information could be defined in the bibliographic format as follows:

366 Trade information (R)
This field contains detailed information relating to the availability of items from publishers. It is used primarily by book trade users of the MARC format.

$a - Publishers' compressed title identification (NR)
Subfield $a contains sufficient title-centered bibliographic information to identify a product, according to conventions of the originating agency.

$b - Detailed date of publication (NR)
Subfield $b contains the detailed date of publication of the item. It is recorded in the format yyyymmdd in accordance with ISO 8601, Representation of Dates and Times. The "mm" and "dd" positions contain zeroes when the data is unknown.

$c - Availability status code (NR)
Subfield $c contains a 2-digit status code followed after a space by the date of the status report. The date is recorded in the format yyyymmdd in accordance with ISO 8601, Representation of Dates and Times. The source of the availability code is recorded in subfield $2.

$d - Expected next availability date (NR)
Subfield $d contains the detailed date for publication of the item. It is recorded in the format yyyymmdd in accordance with ISO 8601, Representation of Dates and Times. The "mm" and "DD" positions contain zeroes when the data is unknown. Subfield $d is used when subfield $c indicates whether the product is not yet published, being reprinted, not yet in stock, is being remaindered, or is temporarily unavailable.

$e - Availability status note (NR)
Subfield $e contains a free text note.

$f - Publisher's discount category (NR)
Subfield $f contains coded information concerning the category of discount offered by the publisher. The first character position identifies the source of the code, character positions 2-5 identify the source of supply and characters 6-8 identify the discount group. For example, the category "ANIEL122" identifies the source of the code as Book Industry Communications, the source of supply to Nielson Bookdata and the discount group 122.

$g - Date made out of print (NR)
Subfield $g contains the date when the product became out of print. The date is recorded in the format yyyymmdd in accordance with ISO 8601, Representation of Dates and Times. The "mm" and "DD" positions contain zeroes when the data is unknown.

$j - ISO country code (NR)
Subfield $j contains the code for the country in which the information in the field is applicable. The code is in accordance with ISO 3166-1, Codes for the Representation of Names of Countries.

$k - MARC country code (NR)
Subfield $k contains a code for the country in which the information in the field is applicable. The code is in accordance with the MARC Code List for Countries.

$m - Identification of agency (NR)
Subfield $m contains information to identify the agency supplying the information in the field.

$2 - Source of availability status code (NR)
Subfield $2 contains a MARC code that identifies the source of the availability status code recorded in subfield $c. The source of the MARC code is MARC Code Lists for Relators, Sources, Description Conventions that is maintained by the Library of Congress.
