Standard Operating Procedure Table of Contents

 

Purpose

To facilitate responses to requests for actions and information that come into the Office of the Director, DEA.

Procedure

The DEA Action and Response Team (DART) is a group of senior-level DEA staff members who are responsible for responding to action items and other requests that come into the Office of the Director, DEA.

Action items may include but are not limited to:

  • Requests for information.
  • Survey responses.
  • Input or formal recommendations on developing policies and procedures.
  • Press inquiries.
  • Controlled correspondence.
  • Data calls.
  • Investigative inquiries.

Requestor

  • Send an email to the "NIAID DEA DART" mailing list or to the DART team leader. Describe your request in the email.
  • In the email's subject line, use the phrase "ACTION: response requested ..." and name the action item.
  • Include the following information in the request:
    • Purpose of the request.
    • Person who should receive the response.
    • Due date for response.
    • Any specific requirements for response, if applicable.

DART Team Leader

  • Determine how DEA should respond to a request. Make sure that the requestor has sent all information needed to respond.
  • Inform the requestor whether DEA will respond by the requested due date.
  • Identify DEA staff who will handle the request.
  • Collate responses from DEA staff into a single draft.
  • Review the draft response and submit it to DEA director for final signoff.
  • Send response to requestor and copy DART and DEA staff who participated in response.
  • Archive response and, if necessary, debrief staff through email or at DEAOP meetings that are designated "DEA Principals only."

Division of Extramural Activities Staff

  • Prepare a response for an action request assigned to you by DART.
  • Get more information, if necessary, from DART.
  • Email response in the requested format to the "NIAID DEA DART" mailing list or to the DART team leader.

Division of Extramural Activities Director

  • Discuss response requests with other members of DART.
  • Sign off on final response before it is sent to a requestor, or identify a designee who can sign off for you.
