VFC-AFIX Quarterly Conference Call Minutes

Grant Application Review

NIP is reviewing the 2006 immunization grants to check for completion of Tables 1 through 3 and for the AFIX Level 1 Self-Assessment Worksheet. Your immunization project officer will contact your project with any questions on the AFIX section of the grant.

Vaccine University Update

NIP’s Vaccine University will be held November 30-December 2, 2005 in Atlanta, Georgia at the Sheraton Buckhead. There are currently 300 registered participants who will participate in three tracks: VFC, Vaccine Management, and AFIX.

The AFIX track will train participants on the new CoCASA software. Those who plan to participate in the AFIX track should bring a laptop with a fully charged battery to the training. NIP will distribute the CoCASA software at the Vaccine University registration with installation instructions so participants may install the software prior to the AFIX sessions. There will be a helpdesk available at the training to help with software installation. Those participating in the AFIX track will not be able to attend the VFC or Vaccine Management sessions because the AFIX sessions are not being repeated.

There will be an early registration for the conference on Tuesday, November 29 from 3-5pm as well as registration on Wednesday and Thursday from 7:30am-5:00pm. More information will be sent to participants on the optional Thursday evening Resource Sharing Session.

The last plenary of the Vaccine University on Friday morning will be Q&A panels. Please forward any questions that you can think of ahead of time on VFC and Vaccine Management to Tasneem Malik at: tom2@cdc.gov and any questions on AFIX to Nancy Fenlon at: ncf1@cdc.gov.

VFC Responsibility Update

Anjella Vargas-Rosales is still on a detail to the coordinating center of CDC. Tasneem Malik is currently working on programmatic and policy issues related to VFC. VFC questions can be directed to Tasneem at tom2@cdc.gov. Lisa Jacques-Carroll is currently responsible for VFC vaccine funding.

CoCASA Update

There will be a CoCASA product to distribute at the Vaccine University training. Grantees will receive the software at the training and will be able to take the software back with them to become familiar with it. CDC will post the new CoCASA software on the website in early January and all other CASA software versions will be replaced by CoCASA. CoCASA will be the preferred tool for assessments and CDC will no longer support old CASA tools after mid-January.

Co-CASA will have a new search function and other functions will be added in later versions. Grantees will have the ability to import old CASA data into CoCASA as long as CASA is located in the default location (C:\WINCASA).

VFC Management Survery/VFC Site Visit Questionnaire

The VFC Management Survey for 2005 will be available to grantees by mid-December and is due March 1, 2006. There will be minimal changes to the 2005 survey. In the VFC/AFIX Activities section of the survey, grantees will still need to provide data summarizing their program visits and completed VFC Site Visit Questionnaires. For those who are using CoCASA, you will be able to run 2 reports (VFC/AFIX Core Activities report and VFC Site Visit Questionnaire Results for CDC) to generate the needed data. For those who are not using CoCASA, we will provide you with templates for the data that you will be required to submit for your 2005 VFC/ AFIX activities. Those templates will be distributed by the end of November.

The VFC Site Visit Questionnaire is expected to have minimal changes from calendar year 2005 to calendar year 2006 (i.e., Tdap and MCV4 need to be added to two questions). NIP plans to have the 2006 VFC Site Visit Questionnaire out to grantees by December 15, 2005.
