Morbidity and Mortality Weekly Report (MMWR) Series Reprinting or Modifications

I. PURPOSE

The purpose of this guide is to establish uniform policies and procedures within CDC1 for reprinting or modifying articles previously published in the Morbidity and Mortality Weekly Report (MMWR) series. The series includes the MMWR (weekly), MMWR Recommendations and Reports, CDC Surveillance Summaries, and the annual Summary of Notifiable Diseases. Reprints include reproductions of individual articles, entire issues, and compilations of subject-specific reports. The following measures are to ensure the integrity of the MMWR series in all derivative forms, including paper copy and electronic reproduction (electronic, video, audio, or multimedia presentation).

II. POLICY

The Epidemiology Program Office (EPO) is responsible for all aspects of the management, production of camera-ready copy, and post production electronic publication of the MMWR series, including all categories of reprints and compilations (both printed and electronic). Policy and practice require that, because MMWR publications are "copies of record" (and, therefore, legal documents), revisions of original material, which includes figures and tables, are permitted only through one or more of the following processes:

1.Resubmitted through the MMWR production process for publication as an update of a previous report.

2.Compiled and printed as a reprint of MMWR article(s) and/or serial publication(s) following EPO consultation and EPO clearance.

3.Prepared and printed as an adaptation of an MMWR publication following EPO consultation and EPO clearance.

4.Prepared and distributed as an electronic version (e.g., computer/video/audio) of MMWR with the original text (formattingchanges acceptable) as approved by the appropriate Managing Editor, MMWR (weekly) or MMWR serial publications, and Director, Office of Scientific and Health Communications (OSHC), EPO.

5.Prepared and distributed as a fax of an MMWR article or issue. If the fax is an exact copy of the published version, approval of fax is automatic. If not an exact copy, the fax must be approved by EPO.

III. PROCEDURES AND RESPONSIBILITIES

A. Reprints and Compilations

Printing requisitions (CDC 0.103A) must be submitted to EPO, OSHC, for production of camera-ready copy and/or electronic publication and distribution. All deviations from the original format and any additional materials to be included must be submitted to OSHC for clearance before production of camera-ready and/or electronic versions(s) are begun. The OSHC will prepare the publication for printing and/or electronic distribution. Following the originating program's final approval, OSHC will submit the necessary materials to the Office of Program Support, Management Analysis and Services Office (MASO), Publications Management Section, for printing and distribution of the document. The OSHC will be responsible for electronic production and distribution.

B. Adaptations

A program that plans to prepare and distribute an adaptation of material that was originally published in the MMWR series will coordinate efforts with EPO and MASO. This coordination is the same as the usual MMWR process; that is, the program will clear the document through EPO before submitting it to MASO for printing. In turn, MASO will ensure that EPO has approved the document.
