VFC-AFIX Quarterly Conference Call Minutes

CoCASA Update

The target release date for version 2 is still the week of October 30th. The updated version will likely be posted on the web sometime between October 30 and November 3rd. You will be able to access and download the software from the existing CoCASA website: www.cdc.gov/vacines/programs/cocasa/

  • An email will be sent out to let you know when CoCASA 2.0 is available.

  • We are able to make CDs of the software on an as-needed basis after the software has been posted to the CoCASA website. Please let us know if you will need a copy on CD.

  • Please be sure to upgrade to this newest version of CoCASA (version 2) prior to running the reports needed for completing the VFC Program Management Survey, due March 1st 2007. Versions 1.4 (and lower) will not provide the correct information needed for the annual survey.

  • If you have multiple field staff entering data, be sure everyone is using the same version before merging data. You will run into problems if you attempt to merge data between staff who are using different versions of the software.

  • Those who are currently using version1.3 can upgrade directly to version 2.0.

VFC Site Visit Questionnaire

  • A couple of issues have come up regarding requirements for enrollment in the VFC program. A meeting was scheduled with CDC legal counsel to resolve these outstanding issues. As a result, Program Operation Branch consultants will be contacting each grantee for a copy of their Provider Enrollment Agreement for review by Immunization Services Divisions.
  • Once resolved, an MSWord version of the 2007 VFC Site Visit Questionnaire will be distributed via email (to all-grantees as well as directly to VFC and AFIX Coordinators) and will be posted on the web. This is expected to take place sometime next week (Oct 16-20).
  • Please note that some changes have been made to the 2007 questionnaire and that all grantees are required to use this new version for all 2007 VFC site visits.

VFC Q&A Document

The frequently asked questions (FAQs) that were compiled during Vaccine University in November 2005 have recently been finalized. The final version of this document was distributed in an all-grantee message in September 2006. The full document is also posted on the web: www.cdc.gov/vaccines/programs/vfc/

National Immunization Conference (NIC)

NIC will take place in Kansas City, MO from March 5-8, 2007. Abstracts are due by November 1. For more details go to the NIC website: www.cdc.gov/vaccines/eventsNIC/ There is not currently an AFIX-related workshop planned for this conference.

Announcements

  • NY State recently sent out a request for information regarding how to get providers to sign-off on receiving AFIX visits. It is important to note that it is NOT legal to require written consent for participation in the AFIX program in the VFC provider enrollment form. As stated in the VFC Operations Guide, in the enrollment section, you are not allowed to add any additional criteria to the VFC provider enrollment agreements. Discussions with legal counsel are underway to try and develop a formal method for grantees who want to alter the VFC enrollment form, but there is currently no legal basis for adding criteria beyond what is outlined in the VFC enrollment form.
  • Please check your VFC and AFIX contact information on the NIP website and let us know if any information needs to be updated.
  • It is with GREAT sadness that we announce Amy Kirsch’s departure from the National Immunization Program. She will be taking another job, within CDC, with the National Center for Public Health Informatics. Amy’s last day here will be on October 27th. It is most important that any and all CoCASA questions get sent directly to nipcocasa@cdc.gov. You can also call the CoCASA help desk at either: 1-800-803-5212 or 404-639-8303.
  • You can continue to use nipinfo@cdc.gov for general information questions.
  • Our next quarterly call will be on January 24th, at 2pm. We will send out call information and an agenda 1-2 weeks prior.
