Frequent Timecard Errors - Do's and Don'ts
DON'T
- Saturday & Sunday Differential when employee is on leave - DON'T
- Sunday Differential when non-Title 38 (T-38) works overtime - DON'T
- Saturday (T-38)/Sunday Differential hours except paid tour hours for day - DON'T
- Saturday (T-38)/Sunday Differential on days other than Saturday (T-38)/Sunday - DON'T
- Title 38 or FWS (Wage Grade) employees given Night Differential, timecard shows Shift 1 - DON'T
- Night Differential for non-T-38 employees for irregular overtime - DON'T
- Employees put in as Title 38 when not eligible - DON'T
- Employees set up to earn/use Credit Hours when not on a Flexible Tour or are SES - DON'T
- Part-time employees given "In Lieu of" holidays (such as July 5, 2004 or December 26, 2005) - DON'T
- Holiday worked hours exceed holiday not worked hours - DON'T
- Employees given Overtime types for which they are not eligible (Substitute, Callback, Training, etc.) - DON'T
- Part time employees given OT/CT before having worked 8 hours/day or 40 hours/week - DON'T
- Intermittent employees given Holiday Leave or other leave types - DON'T
DO
- Shift code for Overtime must be the same as shift code for Regular Hours - DO
- Social Security numbers MUST match - system is SSN-driven - DO
- CANs for Committee Members MUST match - DO
Other Important Changes
- All employees injured during pay period must be put into ITAS by close of business, the second Tuesday of the pay period to use continuation of pay. If not, can do retroactive actions following pay period.
- All employees using donated Voluntary Leave Transfer Program (VLTP) leave must have account created in ITAS by close of business, the second Tuesday of the pay period. If not, can do retroactive actions following pay period.
- All employees donating leave under VLTP must do so (and have it approved) by close of business, the second Tuesday of the pay period.
- All employees using advanced sick leave must have it in the leave balance screen by close of business, second Tuesday of the pay period. If not, can do retroactive actions following pay period.
- All employees who have used military leave & have returned to duty must provide documentation substantiating entitlement of leave provided during dates contained in timecards.
- All employees who have been on court leave must provide documentation substantiating entitlement of leave provided during dates contained in timecards.
- Compensatory time will be available for 26 pay periods.
- Time Off Awards will have no limit on amount and timeframe in which they must be used.
