- Use EXCEL to edit the /infobank/holdings/<database>.txt file.

- Use EXCEL to sort by "container number", then "item number".
- Save the file from EXCEL as tab-delimited text to SQUID.
- On SQUID, run "updateholdings"
- If the "container type" information was changed, copy the updated records from the .txt file into the .txt file.

- an individual or group is the primary maintainer (e.g.: woodshole, stpete)
- Decide what the database should be named

- Columns C thru G are defined in
/infobank/programs/keep/containers_list.keep
and are required for InfoBank.
- Customized field names in columns J and beyond should not start with an "!".
- Use clear, descriptive field names because they will appear on InfoBank pages.

Do the following steps to rename, remove, rearrange, or add entire fields (columns) in a database.
- Check the list of existing databases
(see
InfoBank Databases for Materials) to determine the database name and fields.
- Decide which will be renamed in, removed from, rearranged in, or added to the database.
- Contact Clint Steele
for approval of the suggested changes.
- Make the changes.
- To rename a field in the database -- change the column header cell using VI or Excel.
- To remove a field from the database -- delete the entire column using Excel.
- To rearrange fields in the database -- rearrange the columns using Excel.
- To add a field to the database -- insert a column using Excel.

Do the following steps to rename a database.
- Check the list of existing databases

InfoBank Databases for Materials) to determine the database name.
- Decide the new name for the database.

- Replace all the entries in column I (!Database) of the old database with the new database name.
- Move the old database into a new database
("mv /infobank/holdings/container_locations/<olddatabase>/.txt
/infobank/holdings/container_locations/<newdatabase>.txt").
