InfoBank Management of Materials

InfoBank's management of materials includes

  1. Use EXCEL to edit the /infobank/holdings/<database>.txt file.

  1. On SQUID, run "newitem" to obtain item numbers.
  2. If needed, print label(s) for the item(s).

  1. Add descriptions, FACS ID, etc. to new item numbers listed at the bottom of designated holdings .txt file.

  2. On SQUID, run "updateholdings" to associate location information with the new additions.
  3. On SQUID, run "parseholdings" to create thematic groupings of holdings items.

  4. On SQUID, run "containerhtmls4activities"
  5. On SQUID, run "webupdate" of "/infobank/programs/html/containerhtmls4activities"

  6. On SQUID, run "containers2html"
  7. On SQUID, run "webupdate" of "/infobank/programs/html/containers2html"

  8. On SQUID, run "elevations4activities"
  9. On SQUID, run "webupdate" of "/infobank/programs/html/elevations4activities"

  1. If needed, change the "container number" and the "container type" information.
  2. Use EXCEL to sort by "container number", then "item number".
  3. Save the file from EXCEL as tab-delimited text to SQUID.
  4. On SQUID, run "updateholdings"
  5. If the "container type" information was changed, copy the updated records from the .txt file into the .txt file.

  2. Use EXCEL to edit the "/infobank/holdings/container_locations/<database>.txt" text file.

Geospacial information
Area new Do the following steps to define a new area in a location (e.g.: areas E, F, G, and H in FACS Rm. 1133).

Location new Do the following steps when a new building or room is added to the database.

edit Do the following steps when updating the information and/or links about a location.

move Do the following steps when materials are moved into a new location. (e.g., MarFac Refers relocated to 1020 O'Brien Drive)

delete Do the following steps when a location is no used for FACS materials (e.g. MarFac Refer #1, MarFac Refer #2).

Database new Do the following steps when:
  • there is a new type of holding (e.g.: maps, black boxes, D-tubes)
  • new data does not fit within fields of existing databases (see InfoBank Databases for Materials)
  • database file becomes so volumnious that it is best subdivided (e.g.: boxes1020, boxes1030, boxes1040)
  • an individual or group is the primary maintainer (e.g.: woodshole, stpete)
  1. Decide what the database should be named (see InfoBank Databases for Materials for a list of existing databases).
  2. What fields (columns) should there be in the new database? (columns A thru I in all databases are ...

    • Columns C thru G are defined in /infobank/programs/keep/containers_list.keep and are required for InfoBank.
    • Customized field names in columns J and beyond should not start with an "!".
    • Use clear, descriptive field names because they will appear on InfoBank pages.
  3. Contact Clint Steele about the database name and fields.
edit Do the following steps to rename, remove, rearrange, or add entire fields (columns) in a database.
  1. Check the list of existing databases (see InfoBank Databases for Materials) to determine the database name and fields.
  2. Decide which will be renamed in, removed from, rearranged in, or added to the database.
  3. Contact Clint Steele for approval of the suggested changes.
  4. Make the changes.
    • To rename a field in the database -- change the column header cell using VI or Excel.
    • To remove a field from the database -- delete the entire column using Excel.
    • To rearrange fields in the database -- rearrange the columns using Excel.
    • To add a field to the database -- insert a column using Excel.
rename Do the following steps to rename a database.
  1. Check the list of existing databases (see InfoBank Databases for Materials) to determine the database name.
  2. Decide the new name for the database.
  3. Contact Clint Steele for approval with information about why.
  4. Replace all the entries in column I (!Database) of the old database with the new database name.
  5. Move the old database into a new database ("mv /infobank/holdings/container_locations/<olddatabase>/.txt /infobank/holdings/container_locations/<newdatabase>.txt").
remove Do the following steps to remove a database.
  1. Check the list of existing databases (see InfoBank Databases for Materials) to determine the database name.
  2. Contact Clint Steele for approval with information about why.
  3. Remove the old database ("rm /infobank/holdings/container_locations/<olddatabase>.txt").
