The Smithsonian Institution Libraries has agreed to coordinate the collection and management of an Institution-wide bibliography of scholarly publications by Smithsonian staff and affiliates.
The service will collect, standardize and format the publication and administrative data for scholarly articles, books, chapters, and electronic publications written by Smithsonian authors.
Using this data, the SIL will provide reports to Institution management and directors on research output within and across the various research units. In addition to standard citation information, data collection will include management information for reporting purposes including author department, staff category and fiscal year.
To ensure that this service provides timely and accurate information, the cooperation of Smithsonian staff and affiliates who author scholarly publications is needed. Authors will need to enter data for their own publications in order for the SI Libraries to provide this service.
Although SIL staff will review content for completeness, accuracy of publication information is the responsibility of the researchers associated with the publications.
Smithsonian authors have several methods of submitting publication information to this system. There is a web form created by SIL to collect the data. However many Smithsonian researchers currently use reference management software (e.g. Endnote, RefWorks ) to handle this type of information. Submissions to the Smithsonian Research Bibliography can be collected in a format created by this type of standard bibliographic management software. A searchable website will be made publicly available for basic list generation. But it is also expected that in the near future this data can be re-used for other purposes including the generation of publication lists for departmental and individual websites and for the collection of the publications themselves in digital form if available.
