About OHP contractor meetings

 

OHP Contractor meetings are public meetings (410-120-1385 Compliance with Public Meetings Law). Public meeting announcements, including the meeting agenda, must be posted on the DHS Web site two weeks before the scheduled meeting. Meeting minutes must be made available to the public upon request. The public meeting announcement template is provided by the OHP webmaster.

Taping

Tape recorders will be provided by OMAP at workgroup meetings where there is not an OMAP staff person dedicated to scribe at the meeting. In these cases, the workgroup can choose to devise a template or format to record decisions made and workgroup action items to serve as meeting minutes. All tape recordings will be kept in a central location within OMAP and made available to the public upon request. Tape recordings of meetings will be archived by DHS for seven years. A member of the public who wants to listen to a tape may contact Trish Patten in the Program and Policy section, (503) 945-6505. This tape recording will be made available within 24 hours of the request date during the normal business schedule.

Agendas, minutes, etc.

The meeting chairperson will designate an individual who normally attends the specific meeting to prepare the agenda, take minutes, note decisions made, take action items and track action item responsibility. All meeting minutes, meeting notes, action item templates or meeting summaries must be sent to Michelle Helmer one week before the OHP Contractors meeting. Michelle will copy the workgroup minutes and make them available at the following OHP Contractor meeting. A copy will be archived by OMAP.
