Key Duties and Responsibilities:

The Coast Guard Administrative Assistant coordinates clerical and administrative support, identifying areas for improvement to office management efficiency and effectiveness; recommends changes and/or new procedures to improve office functioning; reviews incoming mail and distributes as appropriate; prepares and submits documents for the Division Chief, Deputy Division Chief, and Branch Chiefs, including forms, memos, letters, endorsements, tables, spreadsheets and similar material; edits material for grammar, punctuation, spelling, and clarity of expression; produces final versions of such material in accepted format, including number and distribution of copies, and signatory authority; reviews final forms, submitted for supervisor's signature for overall clerical accuracy and conformance to appropriate format and returns errors and problems to originating office for correction. The Administrative Assistant also writes responses to invitations, cover letters, internal administrative items and similar items; receives telephone calls and visitors and notifies the appropriate party; answers questions and responds to requests for general information about office operations and procedures. The USCG Administrative Assistant serves as the divisional resident expert in data entry for all maintenance work orders (MAXIMO computer program).
