Job Definition
The administrative assistant assists the general manager by performing routine clerical and administrative functions, such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information to callers.
As with all positions within dealerships, administrative assistants are expected to uphold the highest ethical standards.
Job Duties
Job duties for an administrative assistant include:
- Greeting visitors and handling their inquiries, answering telephones and giving information to callers, taking messages, or transferring calls to appropriate individuals.
- Arranging conferences, meetings and travel reservations for office personnel.
- Opening, reading, routing and distributing incoming mail and other material, and preparing answers to routine letters.
- Setting up and maintaining paper and electronic filing systems for records, correspondence and other material.
- Establishing work procedures and schedules.
- Ordering and dispensing supplies.
- Assisting the general manager and other office personnel in additional assigned duties.
Job Requirements
An administrative assistant should have strong computer skills, organizational skills, and written and oral communication skills. Administrative assistants should be knowledgeable in customer service, as well as the operation of telecommunication systems.
Education Requirements
High school diploma or equivalent. Courses in mathematics, business and computers are beneficial.
This position may require some vocational training or job-related course work or in some cases an associate's degree could be needed.

With proper training and leadership skills, administrative assistants have the opportunity to advance to office manager.
Salary Range
The average annual earnings of secretaries are approximately $20,000 to $45,000. Earnings vary depending on experience, and the dealer's geographic location and size.
