Media Coverage of International Conference Logistics Information

General Information
As announced, President Bush and Secretary of State Rice look forward to hosting an international conference in Annapolis on Tuesday, November 27, 2007 focused on supporting the efforts of Prime Minister Olmert and President Abbas to realize President Bush's vision of two democratic states, Israel and Palestine, living side-by-side in peace and security.

Accreditation

Accreditation is a three step process. The DEADLINE for submitting your request for credentials is Friday, November 23 at 12:00 p.m. EST.

Step One: Media Representatives must complete the request for credential form which can be found online. To apply for credentials media representatives must:

  • fill out the application form on-line (passport numbers may be used if SSN or EIDs are not available); and
  • send in the form by clicking the "submit" button on the Adobe form.

NOTE: To submit the form via email, Adobe Acrobat Reader 8.0 or higher is required. It is available for download free of charge at: http://www.adobe.com/products/acrobat/readstep2.html

Step Two: Media representatives must send a photo to Annapolis_cred@state.gov. The photo must be jpeg format, 1 3/8" x 1 3/8", 300 x 300 dpi with a white background. To ensure that a photo is processed with your request for credential form media representatives must:

  • Include First Name, Last Name and last four numbers of SSN/ID number (or passport number) in the email;
  • Attach a jpeg photo (see specifications above) to the email; and
  • Send the email to Annapolis_cred@state.gov.

NOTE: If an email with a JPG format ID-size photograph is not sent to Annapolis_cred@state.gov the application will not be processed.

NOTE: A confirmation email will be sent to you after you submit your form online and another confirmation email will be sent to you after you send your photo to Annapolis_cred@state.gov.

Step Three: Event credentials will be issued by U.S. Department of State Public Affairs staff prior to the conference at Navy Marine Corps Memorial Stadium, 550 Taylor Avenue in Annapolis, Maryland.

Press Credential Distribution: The credentials will be distributed Monday, November 26 from 12:00 p.m. until 8:00 p.m. and Tuesday, November 27 from 5:30 a.m. until 3:00 p.m. The distribution point will be in the Section C entry hall, Gate 5, Navy-Marine Corps Memorial Stadium. To collect the conference credential, media representatives must:

  • Appear in person at the Navy Marine Corps Memorial Stadium (Gate 5);
  • Present a valid press identification card; and
  • Present a valid passport or U.S. driver's license.

In case of loss of a personal media pass, there will be a credentialing office onsite to contact (information to be provided) otherwise a new pass will not be issued.

Transportation
Free parking is available at the Navy-Marine Corps Memorial Stadium (Click here for directions: http://www.usna.edu/PAO/vpk04/Directions04.htm). Shuttles will be provided to take media representatives from the stadium to the filing center after they have completed the appropriate security screening.

There will be no transportation to/from Annapolis, Maryland.

Filing Center

The State Department staffed filing center will be located in the U.S. Naval Academy Alumni Hall.

HOURS OF OPERATION: The filing center will remain open from 6:00 a.m. until one hour after the closing event Tuesday, November 27.

INTERNET: ***WIRELESS*** internet will be available in the filing center. Media representatives must ensure they have WiFi network cards compatible with the 802.11 b/g standards.

PHONES: There will be a limited number of hard lines available. You will need a calling card or credit card to make long distance calls.

FOOD: Food and beverage options will be available from 6:00 a.m. until 7:30 p.m.on a CASH ONLY basis. (There will be no foreign currency exchange or ATM available)

All open press conference proceedings will be aired on televisions in the filing center. See Media Availability section for feed information.

Security/U.S. Naval Academy Entry Procedures

Security: Media representatives must enter through Navy-Marine Corps Memorial Stadium's Gate 5 to receive credentials. Media representatives will then proceed to the security area of the stadium to be screened.

Media representatives should be aware that on-site security will examine and inspect all personal items and work equipment carried by registrants. In order to prevent delays, media representatives are advised to plan to arrive with sufficient time to accommodate the mandatory security checks.

U.S. Naval Academy Entry Procedures: On Tuesday, November 27 the Naval Academy will be closed to all VEHICULAR AND PEDISTRIAN traffic. All media representatives must first arrive at the Navy-Marine Corps Memorial Stadium to be screened for security purposes. After completing the mandatory security check, media representatives will be provided a complimentary shuttle service from the stadium to the Alumni Hall filing center. Please note that even if you have picked up your credentials the day before, on Tuesday, November 27, all media representatives must be screened by security at the stadium before being shuttled to the filing center. Media representatives will not be allowed re-entry onto the U.S. Naval Academy campus unless they arrive on the conference provided shuttle from the stadium or are traveling with an official delegation and already have their credentials.

If for any reason you need to leave the press designated area you will have to be re-screened to enter the filing center (Alumni Hall). If you leave the U.S. Naval Academy's campus, you will have to go back to Navy-Marine Corps Memorial Stadium to be re-screened by security. Only after you are re-screened, will you be allowed to proceed to campus-based filing center via a conference-provided shuttle.

Media Availability

Interview Requests: There will be a media booking unit for U.S. officials onsite, November 27. Contact information will be posted shortly. Any interview requests may also be sent via email to PARMO@state.gov

Broadcasting: All open press conference proceedings will be provided by the host TV and aired in the filing center.

Satellite Truck Information: There are a limited number of spaces available and will be assigned on a first-come basis. Only satellite trucks (no other vehicles) will be allowed in the satellite truck lot. If you are interested in reserving a space, email your request to SatelliteTrucks@state.gov. no later than 4:00 p.m. EST Wednesday, November 21. For satellite truck parking please contact: Department of State Press Office (202-647-2492). Satellite truck approvals and assignments will be issued on Friday, November 23. You must provide the following information to properly register for an assigned truck position:

Organization Name

  • Type of Truck (including dimensions and vehicle weight)
  • License Plate Number and Issuing State
  • Name(s) and cell phone numbers of Individuals with Access to the Truck

The Parking lot is on northwest side of Alumni Hall, the site of the press filing center. It has been surveyed, and has a clear line of sight to the west/southwestern horizon. There will be no local electrical power available. The trucks will be 300 to 1,000 feet away from the approved stand-up location, allowing correspondents to broadcast live from the Naval Academy.

These assigned truck locations will be for your own individual transmission use only, such as feeding stand-ups and tape. The actual conference proceedings will be fed back via digital Ku-band transmissions to the Washington, DC AVOC from a host TV pool, and a press advisory will be issued with the satellite coordinates on Friday, November 23.

EVERY individual that needs access to the Naval Academy in conjunction with the truck MUST have an official Annapolis Conference credential. The application for the credential can be found at www.state.gov. Truck operators wishing to enter campus on Monday, November 26 must pick up their credential and have their truck swept by security on Monday, November 26 from the U.S. Navy Marine Corps Memorial Stadium. Credentials will be available for pick up starting at 12:00 p.m. on Monday, November 26.

Trucks must arrive on Monday, November 26 between 2:00 p.m. and 6:00 p.m. and access campus via the entrance near the intersection of Balitmore/Annapolis Blvd and Bowyer Road. The only individuals authorized to enter the campus on Monday are those bringing the satellite truck. On Tuesday all additional media staff such as camera crews and journalists must follow procedures for obtaining credentials, clearing security off-campus at Navy-Marine Corps Memorial Stadium, and transportation via shuttles to the filing center. All satellite trucks must be in the designated lot by 6:00 p.m. on Monday, November 26, or you will not have an assigned truck position for Tuesday's events. Once trucks have arrived on the lot, they cannot leave and return. They must remain until the end of the Annapolis Conference, and must leave the lot by 10:00 p.m. EST Tuesday.

There will be two more security sweeps of the trucks, one Monday night and one Tuesday morning (they will not need to go inside of your truck). You are welcome to have someone stay with your truck Monday overnight.

Stand ups: A portion of the Alumni Hall filing center has been designated as the approved stand up shot location for all press. Signs will be provided to direct those wishing to utilize this space.
