BRFSS POLICY MEMO 97.7
Annual data submission deadline
The Summary Prevalence Report needs to be released by the end of summer
of each data year. Many state and federal users need the report to develop
their own specific reports and publications.
The Summary Prevalence Report cannot be produced until the annual master
file of BRFSS data is finalized.
The BRFSS User's Guide specifies that edited data are expected to be
submitted to BSB within 30 days of the end of each interview month. Monthly
data are used to generate mid-year assessments of data for participating
areas. In addition, monthly data are combined to produce an annual data file
for each state. This annual file is used to produce year-end products,
including state tables, state summary reports, and the annual Summary
Prevalence Report of risk factors for all participating areas.
Beginning with BRFSS data collected in 1997, all twelve months of initial
BRFSS data must be submitted no later than March 20, 1998. For 1998 and
subsequent data years, twelve months of initial data must be received no
later than February 20, following the year of collection.
States that do not meet the submission deadline may not be included in
the annual Summary Prevalence Report and production of state tables and risk
reports may also be delayed. Late submitted data will be processed,
weighted, and used for state table production, but timing of these events
will depend upon the resources available in the Survey Operations Section at
the time all data are received. Although products such as the Summary
Prevalence Report will not be revised to include reporting areas that do not
meet the submission deadline, data for these areas will be added to the
annual BRFSS data file.
