VFC-AFIX Quarterly Conference Call Minutes
April 27, 2005

2004 VFC/AFIX Activities Report

Once again, it is time for us to report to Office of Management and Budget (OMB) on the Vaccines for Children/Assessment, Feedback, Incentives, and eXchange (VFC/AFIX) activities from last year (2004). The 2004 Activities Report is due to OMB on May 15th. A majority of the grantee information that we use to write the report comes from the VFC Program Management Survey that was due in March. Other information comes from the annual reports and progress reports submitted with the grant applications.

We need to send this activities document through the Immunization Services Division of the National Center for Immunization and Respiratory Diseases (NCIRD) clearance process this Friday and we are still trying to clarify or obtain information from several grantees. If Holly Groom has called and left you a message regarding the information you submitted on the VFC Management Survey please contact her ASAP (before noon on April 28th) so we can accurately reflect your AFIX activities in the report to OMB.

Once the report is submitted and we receive approval from the Office of the Director we will post the 2004 AFIX Activities report on the website, along with those from past years.

AFIX Standards

The AFIX Standards binders were sent to all Program Managers and AFIX Coordinators on April 15th, 2005 (1 for each person). You should have received your copies in the mail. If not, please contact Nancy Fenlon, by email (ncf1@cdc.gov) and provide her with your correct mailing address to have a new copy sent.

The AFIX Standards are also available on the AFIX website and can be accessed under 3 different web headings: Publications, What’s New, and Major Links.

Nancy and Amy are also available for technical assistance for those working on implementation of the AFIX Standards. Their contact information is included in the introduction letter for the Standards document. Please contact them if you need any assistance.

CoCASA

If you have comments or constructive criticism about CoCASA, please direct it to nipcocasa@cdc.gov. This applies to the current version of the software (limited to VFC/AFIX Evaluation) as well as future software versions. We will be directing all inquiries related to CoCASA to this email address so that we can track and document your feedback more efficiently. Grantees have already provided us with invaluable information about the use of CoCASA, so please continue to do so.

In order to present timely summary updates for CoCASA, we are proposing that we create a web page within the AFIX website that will provide information to you, as you need it.

A suggestion was made to send periodic emails to grantees, letting them know when we have updated the site and exactly what content has been updated.

Ideas for content include:
  • Tips for use
  • Troubleshooting (common problems that have been mentioned)
  • Software bugs (things to be corrected in the VFC/AFIX Evaluation patch and/or in the full CoCASA release)
  • Frequently asked Questions (FAQs).

We are still discussing the mechanics of this but will likely initiate this project soon. If you have thoughts about this, please contact Holly Groom (heg4@cdc.gov) with your input.

VFC/AFIX/ Vaccine Training

A 2 ½ day training is being planned for late fall, in Atlanta. The training is designed for VFC/AFIX supervisory staff (AFIX Coordinators, VFC Coordinators, Vaccine Managers, etc.). An exact date has not yet been confirmed.

Training content:
  • VFC accountability
  • AFIX programs
  • AFIX Standards
  • Other vaccine-related issues.
  • CoCASA training (focusing specifically on the Assessment, Data Entry and Reports functionality that is not available in current software version).
  • CoCASA tutorial debut

Participants will be those in coordinating/supervisory roles for VFC and/or AFIX programs who will be able to return to their respective sites and provide trainings to field staff conducting their VFC and AFIX programs.

Questions raised on call:
  • Details on funding for travel to the training have not yet been finalized.
  • Consideration is being made for those who work exclusively in one area (i.e.; AFIX) and who have no need to attend VFC-related sessions. The agenda is still being developed but will attempt to accommodate the varying needs of participants.
  • As soon as more details are made available, we will provide you with the updated information.
  • NIP will attempt to structure the training announcement to ensure that target audience is clearly identified
