Getting Started

SFM is here to facilitate motor vehicle operations for state employees and managers. Because SFM takes care of vehicle acquisition, fuel, maintenance/repairs and billing state employees are able to concentrate their efforts on program missions. Remember that budgetary rules, limitations and authority drive all Agency expenditures, and typically require sound data and justification for approval.

As a first step, we recommend that you obtain and maintain an account with the Colorado Automotive Reporting System CARS (State Security protocols require you to change your password every 30 days). Most of your needs should be covered by services and reports available on the "MyFleet" web interface to CARS.  Get your CARS account here. Please review our Frequently Asked Questions.

As state Employees, we all have a responsibility to the taxpayers of Colorado. State vehicles should be treated with appropriate care and operated safely.  No Smoking, Alcohol or Drugs. In some departments, vehicle care may even be a part of an employee's evaluation. Finally, there are FOUR primary ways that you can help us help you:

1.) Accurate reporting of odometers every month This ensures that accurate billing and rate setting occurs for your agency and thereby maintains necessary operating appropriations. More importantly, accurate mileage readings enable our staff to be sure that all manufacturer's required maintenance is completed on time. This optimizes vehicle reliability, maintains warranties and extends the life of the vehicle. When you get a CARS account you can enter mileages in MyFleet via the Web.


2.) Understand the maintenance that your vehicle needs The MyFleet interface will give you up-to-date preventive maintenance (PM) schedules (based on reported mileage). It displays when youre due for an oil change, brake service, coolant flush, etc. Maintaining these keeps the vehicle safe and saves money for the State of Colorado and its' taxpayers. Always be aware of fluid levels, leaks, tire pressure, noises and warning lights. Contact our automotive experts in the SFM Call Center (800-356-3846) if you have any questions. 3.) The vehicle you drive should be appropriate for your program needs, be safety conscious (seat belts) and remember you represent the State of Colorado. If you are involved in an accident, follow the procedures outlined in the Operator's Manual. You must report it immediately to SFM (800-356-3846). If a vehicle is fixable SFM will make repair arrangements and pay for the repairs; if it is totaled SFM will arrange to have the wreck brought to SFM or other location for disposal. SFM may also be able to provide a short-term vehicle until a permanent replacement is found. There is no collision insurance on state vehicles. Collision costs are covered through a per mile accident charge each month. The office of Risk Management handles issues of liability.

4.) All maintenance and repairs must be authorized by the Call Center (800-356-3846). Use the National Auto Club ONLY FOR AFTER HOURS EMERGENCIES. (You should use Fuel Card for this Service.)

The fuel card must NOT be used for anything other than fuel, wiper blades, National Auto Club, a quart of oil, or other fluid replacement (windshield washer, coolant, etc.). This is important because SFM does not get a record from the fuel card regarding the service done and this typically leads to duplicating services or worse: voiding warranties. Such actions may cause expenses to be billed directly to your agency.
