Summary
To support and empower state agency payroll staff members, OSPS offers the following:
  • Classroom instruction on using OSPA and on OSPS business processes
  • On-line audio/visual presentations on specific processes
  • PowerPoint slides from previous classes
  • Monthly user forums

OSPA User Forums
OSPS hosts quarterly user forums to share major application changes and new processes and provide guest speakers on payroll-related issues.
 
Past forum guest speakers have included representatives from PERS, PEBB, IRS, The Standard Insurance Company, Social Security Administration and many others.
 
We announce Forum agendas before each meeting in our electronic newsletter,  OSPS E-News and the OSPS Training News, published on the first working day of each month.  If you miss the announcement, please call the OSPS Helpdesk at (503) 378-6777, we will be happy to fill you in.
 
We encourage every agency payroll staff member, and fiscal or personnel staff with payroll functions, to join us at each forum.

Location and Time
OSPA User Forums are normally from 1 p.m. to 4 p.m. in the Veterans Affairs auditorium located at 700 Summer St NE in Salem.  This venue does not allow food or drink.

Classroom Instruction
How to Register
For the hands-on classes, the computer lab will accommodate 10 students.  We require prior registration to ensure that each student will have a computer and security to the OSPA test region.
 
For seminar style classes, your pre-regisration will ensure there are enough handouts for everyone and that the room will accommodate all of those who wish to attend.
 
If you're interested in attending training provided by OSPS, please send an e-mail to SCD Registration with the following information:
  1. Name and date of training (place in subject line)
  2. Agency Name 
  3. Attendee(s) name
  4. Phone number and e-mail address
  5. Supervisor's Name 
 
Please Note:  OSPS does not charge for OSPS developed training. However, SCD does pay a rental fee for the computer training rooms; and, the OSPS trainer invests time to prepare for the classes.  Beginning July 1, 2007, SCD will charge a $50.00 fee when a student is registered for an OSPS computer-based class and does not cancel 48 hours prior to the class or send a substitute. This fee is included in the 2007-09 Price List of Goods and Services.

Annually, OSPS offers the following classes.  For the specific dates for the classes see the OSPS Processing Calendar or the SCD Training Calendar.
 
OSPA Overview (2 days, 1 month apart)
For staff members who are new to OSPA, this class provides hands-on experience with OSPA and covers resources available on the Internet, OSPA’s relationship with other systems / applications, and the most frequently used screens, such as the PTB1, PTB2, PTD1, PTD2, PTW1, PTW2, P001, P002, P003, P010, P020, P030, P032, P050, P070, P090, P160, P190, P191, P192, and P370.
 
Processing New Employees in OSPA (1 day)
For staff members who have some experience in OSPA, this hands-on class covers the basic steps in setting up a new hire in OSPA.  It also covers the entries for some exceptions, such as PEBB opt out, waive, and domestic partners.
 
Processing Separating Employees in OSPA (1 day)
For staff members who have some experience in OSPA, this hands-on class covers the basic steps in processing a separating employee due to a resignation, retirement, or death.
 
Processing Employee Transfers in OSPA (1/2 day)
For staff members who have some experience in OSPA, this hands-on class covers the basic steps in processing an employee that is transferring from one state agency to another.  It will provide an overview of the process for both the sending and receiving agencies.
 
OSPA Reports (length varies)
At least once a year, we will offer a class on a given aspect of OSPA reports.  The emphasis may be on Payroll Registers, Exception Reports, Research Tools, reports that require action when received, an overview of the most common OSPA reports, etc.  Watch for an announcement through OSPS-News for the current reports class.

On-line Training Presentations
On-line Training System Requirements
OSPS offers brief on-line, audio/visual presentations through PowerPoint Producer.  You may start or stop these presentations at any time during the presentation.
 
System Requirements
To play the presentation on a computer running the Windows operating system, you need the following:
  • Windows 98 or later, or Windows NT 4.0 or later
  • Microsoft Windows Media Player 6.4 or later
  • Microsoft Internet Explorer 5.0 (or later) or Netscape Navigator 7.0 (or later)
To play the presentation on a computer running the Mac OS X operating system, you need the following:
  • Mac OS X v10.2
  • Windows Media Player for Mac OS X
  • Internet Explorer 5.2.2 (or later) for Mac
