RAPPORTEUR'S INSTRUCTIONS FOR FOCI PI MEETINGS

FOCI Personnel from A. Kendall and J. Schumacher)
Why
A recommendation from the Program Implementation
discussion at the 1990 FOCI Retreat was to distribute minutes from principal
investigator (PI) meetings. The FOCI support staff and PIs approved the
recommendation. This document provides an explanation of how this has been
implemented. If you have suggestions or questions about this subject,

When
PI meetings generally occur on the second Thursday
of the month in various conference rooms as available. The FOCI Coordinator
makes the room arrangements, distributes meeting announcements with the
agenda, and serves as chairman. To give FOCI support staff
scientists a presence at the meeting and a feel for program-wide scientific
issues, each support staff scientist serves a turn as meeting rapporteur,
with the order of rotation proceeding quasi-alphabetically. When it is
your turn, the Coordinator will send you the meeting announcement with
your name listed in the agenda as the rapporteur. If you are unable to
attend your assigned PI meeting, please make arrangements to trade with
someone else, preferably the next person in sequence, and notify the Coordinator.
How
Attend the meeting and take notes. While the ideas
presented are still fresh in your mind, transcribe the notes using your
favorite word processor. Follow the format in the minutes for
the previous month on FOCI's web site for minutes,
or
on the FOCI bulletin boards at AFSC and PMEL. The minutes should
be succinct and not require lengthy preparation. When completed,
mail an electronic version of the minutes to the
Coordinator, preferably by the Tuesday following the meeting. Use
HTML, Word, WordPerfect, Rich Text Format, or ASCII text, in order of preference.
The Coordinator will make suggestions for editorial changes or edit the
minutes himself, then distribute the minutes electronically to all FOCI
personnel and to the FOCI web site. Printed copies of the minutes will
be posted on the FOCI bulletin boards.
