IMPORTANT: NIH eSubmission SYSTEM ISSUE - 08/18/2006

Applications Affected:
-    Submitted between July 18 and August 18, 2006
-    Using “VERSION-2-FORMS”
-    Applications without a Human Subject attachment
-    Pay special attention to:

What is the issue:
Due to an eRA system error, some of the attachments included in the PHS 398 Research Plan form are dropped during the assembly of the application image in eRA Commons when no Human Subject attachment is present. This issue would not have been caught by the any of the eRA system validations. Unless you and your PIs closely reviewed your application image, you may not have noticed attachments missing from your application. Please take a few moments to check the integrity of your assembled applications.

This issue will be addressed in a software release that will be deployed this weekend (8/18-8/20).

What to do:

Contact the eRA Commons help desk immediately to document that you have been affected by this system issue.

If your application status is “Pending Verification” (i.e., within the two weekday viewing window), reject the application submission immediately and wait until Monday, August 21 to submit a changed/corrected application. Don’t forget to mention the system issue in your cover letter and carefully review your application image after resubmitting.

If your application status is “Submission Complete” or a grant number is assigned (i.e. after the two weekday viewing window), the application has already moved forward to Receipt and Referral. You will need to work directly with your Scientific Review Administrator (SRA) for appropriate instructions on how to get the additional information added to your application submission.

One more time for the road….Carefully check your assembled application images!!!
