How to Submit Final Grades for TA Authorized Courses

The final part of the TA process is for members to submit the final grade report to the unit ESO. The grade report must include the member's name and social security number. Schools are asked to submit grades, but the member is ultimately responsible for ensuring the grades are submitted to the CG Institute.

The unit ESO should ensure that the member's name and SSN are included on the grade report. The grade report may be submitted to the CG Institute by:

  • FAX: 405-954-7247
  • Email: TuitionAssistance@uscg.mil
  • Mail:
    Commanding Officer (TA)
    Coast Guard Institute
    5900 SW 64th St.
    Oklahoma City, OK 73169-6990

VERY IMPORTANT: Grades must be reported not later than 60 days after the course ending date. When grades are not reported, the member will be locked out of the TA system until the grades are received. Additionally, action will be taken to recoup TA paid out for the courses(s). This means the member will not be authorized Tuition Assistance until grades are recorded or tuition cost is repaid.

Grades Not Posted Within NETPDTC Action

90 days Sends letter of notification to member's Commanding Officer

Individuals who receive an "I" in a course will have six months from course end date to finish course requirements and provide a passing grade report to the CG Institute.

Individuals who receive either a "D" or better in an undergraduate course are not required to repay TA.

Individuals whose academic average on the previous 12 semester hours is less than a "B" average in a graduate level course are required to repay TA.

In cases when the member does not complete the course or receives a failing grade, the member will repay the government share of tuition as soon as possible after the course completion date.

If a member is indebted to the CG for Tuition Assistance, the member will not be authorized for additional TA until the total debt is repaid. See TA Indebtedness Resolution for additional information.
