NEW ITA SYSTEMS ISSUE

ITA Converts to Sunflower Personal Property Management System

Effective October 15, ITA will convert to the Department’s Personal Property Management System (PPMS), Sunflower.  ITA’s previous property inventory database, Flashpoint/Fixed Assets, has already been turned off in preparation for this migration.  Sunflower will give ITA increased property inventory tools, such as barcode scanners, online access to the inventory database, daily reports, and increased coordination with the Department.  Since February, ITA’s property team has worked closely with the Department and the Sunflower contractors to migrate ITA’s inventory data successfully to Sunflower.  ITA’s Property Accountability Officers and Property Custodians are currently undergoing training on Sunflower.  If you have questions, or will need access to Sunflower, please contact ITA’s Property Management Officer, Jeff Scherr, at (202)482-3266 or Jeffrey.Scherr@mail.doc.gov .

Commerce Learning Center (CLC) User Guidance

Background: The Department purchased the CLC for deployment throughout all of Commerce - in D.C. as well as all our domestic and overseas duty stations. If you have a computer with internet access, you can access the Learning Center!  How it Works: The CLC manages your professional development, helps plan your training, offers online training at your fingertips, and much, much more.  When you are added to the CLC as a new user and a CLC user account has been created for you, you will receive a system-generated message from CLCSupport@learn.com entitled “Welcome to the Commerce Learning Center!” inviting you to log in. Just follow the instructions included in the system-generated message.  Primary POC: CLCSupport@mail.doc.gov .  FAQs:  1. What is my ID and password for the Commerce Learning Center?  Your ID is the your e-mail address. Please refer to the Locator Information section of your WebT&A for your e-mail address on file which is used to generate your Commerce Learning Center account. The initial password used to access the Commerce Learning Center is a randomly generated password and is sent to your e-mail address when your account is created. The web site is https://doc.learn.com/.  2. Will I see my student history in the Commerce Learning Center right away?  No. You will see your transcript during Phase 2 of the implementation process, slated to begin on June 1, 2007, and extend through the remainder of the fiscal year.  3. I completed my course, but it is still showing as incomplete. How can I get it to change to completed?  First, click your browser's refresh button. If this does not work, you have probably not exited the course correctly. Log out and back in, then click the EXIT button inside the course, then log back into the course, and it should now say "Completed."  If you have any questions about the Commerce Learning Center, please call Diane Evans at (202)482-4382 or via email at Diane.Evans@mail.doc.gov.
 

CBS Systems Startup Pointers for ITA Employees

ITA is implementing a new financial system called the Commerce Business Systems (CBS). As of October 1st, 2007, ITA’s new financial service provider is the Department of Commerce’s (DoC) National Institute of Standards and Technology (NIST). You can’t access CBS between October 1st and October 22, 2007, ITA’s financial data is being converted from the legacy financial system, FFS during that time. During this time period, financial transactions may still take place, but they won’t be recorded into the system. Contact your Resource Coordinator with any questions regarding this or for information on the new accounting codes to use. 

How ITA Will Operate Prior To CBS Being Live

The following capsule descriptions are provided to assist users of the new accounting system as we start to deploy the Commerce Business System accounting processes within ITA.  Contacts are provided for most entries however if you have a question not covered below please contact ITA’s accounting director, Catherine Roberts at (202) 482-3153 and/or Catherine.roberts@mail.doc.gov

Accounting Codes

The new CBS Accounting Codes must be used on all documents and transactions.  The new codes include: Bureau, Fund Code FY, Fund, Program, Project, Task, Organization and Object Class.  Additional information regarding the new accounting codes is provided in the training course materials.  If you have questions regarding the appropriate codes to use, please contact your Resource Coordinator.

Vendor Payments

Original invoices submitted to ITA after October 1, 2007 should be sent to:

Bankcard statements must be reconciled monthly within 10 days of issuance using the new CBS accounting codes and sent to:

Web T & A

Beginning with pay period 20 (September 30, 2007 to October 13, 2007), “stored accounting” will no longer be available.  Employees must begin using the new CBS fund, project and task codes.  These codes have been uploaded to the Web TA system and will be available for employees to select from a drop down menu.  Questions regarding which codes to use should be directed to Resource Coordinators.  Guidance will be provided by NIST staff at Open Houses  scheduled for October 9 and 10 at HCHB Room 6031 for employees to get assistance in completing their Web T & A input for pay period 20.


Where Do I Find.... New Smart Forms

You must use the new smartforms. Many people have old incompatible and outdated version of the forms saved on their PC.  Please delete them and use the new forms.  The new forms have been updated to conform with business processes associated with the new financial management system. The only way to be sure you use the current version of forms is to get them from Smart Forms.  1) Log into Our Place; 2) Click on the e-Forms menu on the left side of your screen; 3) Click on Smart Forms on the left side of the e-Forms home page. or http://ourplace.ita.doc.gov/DOC/workflow.nsf?OpenDatabase.
