Overview

  1. This section contains information concerning the ERCS Host Site System Administrators (hereinafter referred to as system administrator). The system administrators are MITS employees.

Hardware Maintenance Support

  1. The system administrators support the SUN minicomputer. The minicomputer is located in the Tennessee Computing Center in Memphis. This system houses the LMSB and SB/SE databases. The ERCS minicomputer has been implemented under the UNIX operating system.

  2. The system administrators must also have basic knowledge of Informix Database Management.

  3. The support of the system administrators is essential. In addition to providing hardware and systems administration, the system administrators will ensure that batch program to process campus AIMS tapes are run, install new programs, and ensure backups are made and that batch reports are run.

Role and Responsibilities of the System Administrator

  1. The duties and responsibilities of the system administrator are detailed in the following resource documents:

    • Local Standard Operating Procedures (SOP)

    • Commercial Security Package (CSP) Security Features User's Guide

    • Commercial Security Package (CSP) Trusted Facilities Manual

    • UNAX Guidelines

    • National Unix Security Guidelines

    • Service Level Agreement for Examination Returns Control System, SBSE and Modernization, Information Technology and Security (MITS) Services

    • IRM 25.10, Section 1, Information Technology (IT) Security Policy and Guidance

    • ERCS Technical Reference Manual

  2. Responsibilities of the system administrator include, but are not limited to:

    1. Coordinating repairs and maintenance of the system,

    2. Installing system and application software,

    3. Loading application updates,

    4. Ensuring all security features are installed and operating properly,

    5. Performing nightly system backups,

    6. Restricting access to authorized users and adding users to the system,

    7. Archiving; prior to archiving, ensure a backup of the files exmf, tapp, xsiz, and empl. These need to be maintained for two years for purposes of recreating form 4502,

    8. Retaining archived audit trail information for 6 years,

    9. Configuring printers,

    10. Working with MITS to resolve complex user issues,

    11. Working with Charlotte Development Center to troubleshoot the ERCS application,

    12. Restoring damaged or lost data from backup tapes, and

    13. Working with ERCS Functional Coordinators to resolve complex user issues.

Communicating with the System Administrator

  1. The ERCS Functional Coordinator is the liaison with the system administrator. Users experiencing ERCS problems or questions are to seek assistance from their ERCS Functional Coordinator. The ERCS Functional Coordinator will follow established ITAMS procedures when securing system administrator assistance.
