Privacy Act System of Records

Overview

Systems of Records

The Centers for Medicare & Medicaid Services has published in the "Federal Register" a system notice that describes the data collected and maintained by the agency and covered by the Privacy Act.  These systems include the following types of data collections:

  • Patient and Beneficiary Health Records, Claims Records, Complaint Files, Grants Management Records, Research Records, and Administrative Files

A description of the information to be collected must be published in the "Federal Register" 40 days before the data collection begins.

For each of these systems of records, a specified agency employee, known as a system manager, is responsible for the business requirements of the data maintained in the system, for answering any questions about seeing the records, and amending or correcting information contained therein.  The system manager, along with his or her mailing address, is listed in the Federal Register Notice.
