Personnel at a Department (CG Department Run)

Introduction

Personnel at A Department, accessed via the Airport Terminal, provides a listing of all personnel and positions at a department.  After the roster runs you can add additional details to the information already displayed by selecting the Orders In/Out or Last Review Dates checkboxes (Please see step 9 in the procedure below).

Getting Access to the Unit Roster

Access to Airport Terminal  is limited to authorized Command Users. To be designated a Command User complete a User Access Form and submit it to PSC .

Fax applications to PSC at
785-339-2297.

  1. Complete Items 1 through 6.

  2. Choose the appropriate User Role -- "Command User".

  3. Print the form

  4. Have the Unit CO sign and date item 8 (Note: The CO/OIC may delegate this authority to the XO/XPO, forms signed "By direction" will not be approved by PSC).

  5. User should sign and date item 10.

  6. Fax completed form to PSC at 785-339-2297.

Retain the original form until the member/employee departs the unit (transfer, discharge, etc.), or the designation is otherwise terminated or revoked. To terminate Command User designation and privileges, have the member sign the acknowledgment in Section 3 of CG PSC Form 7421/2 and fax to the at (785) 339-2297.

Known Issues

The To Excel link will launch a process to convert the roster to MS Excel format when clicked. You must press and hold down the Control (CTRL) key when clicking the "To Excel" link and you must have Internet Explore set to allow pop-ups and allow opening of MS Excel files before this link will work for you.

Procedure

Follow these steps to access the Unit Roster.

Start Internet Explorer and enter address for the PeopleSoft site:

Refer to the Signing In topic for help on starting PeopleSoft.

Enter your Operator ID and Password in the appropriate fields and click the Sign In button

Select menu items in the following order (see Basic Navigation if you need help using PeopleSoft menus):

Home > Self Service > Self Service > Self Service for Commands > Use > Command Information

Home > Develop Workforce > Manage Positions > Inquire > Personnel at a Dept

The department lookup page will display. The relationship type field will show "Own unit only" and the department field will show your department ID number.

Click the Search button to continue. If you have access to view data for other units (e.g. PERSRU user), you may choose a different Relationship Type by clicking on the drop-down and enter the department ID in the department field.

When the Airport Terminal displays click on the tab.

Job FamilyAllows you to customize the roster by electing to display only members and positions of a job family you select. This field may be left blank to display all members and positions at the department. Click on the icon to open the job family search page if you want to select a job family.

SourceAllows you to customize the roster by electing to display only active military, reserve or civilian members and positions. This field may be left blank to display all members and positions at a department.

Click the button to run the roster. Refer to the table below for information on the data displayed.

Orders and Evals detailsAfter the roster runs you can add additional details to the information already displayed by selecting the Orders In/Out or Last Review Dates checkboxes.

Functions

The Unit Roster has several functions to use when viewing data on personnel or positions at a unit. The table below describes the functions of each button or link on the page.

Dept ID

Shows the department ID.

Location

Shows the location code.

Job Family

Allows you to customize the roster by electing to display only members and positions of a job family you select. This field may be left blank to display all members and positions at the department. Click on the icon to open the job family search page if you want to select a job family.

Source

Allows you to customize the roster by electing to display only active military, reserve or civilian members and positions. This field may be left blank to display all members and positions at a department.

Returns you to the Airport Terminal

Runs the unit roster with the job family and source limits you have selected.

Orders and Evals details

After the roster runs you can add additional details to the information already displayed by selecting the Orders In/Out or Last Review Dates checkboxes.

To Excel

  • Name

  • Gender

  • Department assigned to

  • Sub-Department assigned to

  • ATU/OPFAC assigned to

  • Name of department assigned to

Displays the following information about positions at the department:

  • Orders – This column will indicate IN or OUT if the member has orders.

  • Employee ID (EmplID) – Links to information about the member.

  • Rank

  • Name

  • Position Number

  • Position Job Code

  • Position Rank Abbreviation

  • Position Source (Military, Reserve, Civilian)

  • Incumbent Job Code

  • Rank

  • Incumbent Rank

  • Position Description
