Plone Cheat Sheet

Keep this document nearby while you use Plone!

Log In

  1. In your web browser's URL field, type http://www.cabq.gov/yourfolder/login_form, where "yourfolder" is the name of the folder where your pages are. For example, if you work on the BioPark pages, you would type http://www.cabq.gov/biopark/login_form

  2. Create a Favorite in your web browser so that you can easily get back to this page. Here's how:
    1. Click on the Favorites menu at the top of your screen.
    2. Select Add to Favorites from the list that drops down.
    3. In the Name field, type a name that you will remember.
    4. Click OK.
  3. Type your username and password to log in.

Create a new page

  1. Add to FolderSelect Page from the Add to folder dropdown menu.  
  2. Assign your new page a Title. This title appears as the headline at the top of the page. It should be kept short, but describe the page you are creating.
    Note: The red box next to the Title field indicates that it is a required field. Be Careful! If you don't enter text here, you could lose your work.
  3. Add text, images, and links in the Body Text field. This is the main section of the page. Like the Title box, this is a required field.
  4. When you're done editing, click the Save button at the bottom of your screen. If you don't click either the Save or Cancel button, Plone will prompt you when you try to leave the page you're editing.
  5. To forward the page to your Supervisor for approval, select Submit from the Status dropdown menu.
    Note: If you are both the Contributor and Reviewer for your section, you can select Go Live from the Status dropdown menu to immediately publish your changes to the live website.

Make changes on an existing page

  1. Edit TabClick the Edit tab at the top of the window.
  2. To add or change text, click inside the large, white Body Text field. You also can copy and paste text from a web page or word processor.  
  3. To add an image, click the Insert Image icon in the Toolbar: image
  4. When you have finished editing, click the Save button at the bottom of your screen. This will keep you from losing your changes. 
  5. To forward the page to your Supervisor for approval, select Submit from the Status dropdown menu. 
    Note: If you are both the Contributor and Approver for your section of the website, you can select Go Live from the Status dropdown menu to immediately publish your changes to the live website.

Insert an image

  1. Resources Browser - Insert an ImagePlace your cursor where you want the image.
  2. Click the Insert/Edit Image icon: image
  3. Click the Browse Server button.
  4. Browse to /images folder in your section of the site.
  5. Select your image by clicking on the 1, 2, 3, 4, 5, 6, or full link.
  6. Click OK.

The image is added to your page. If you don't like the size you chose, delete the image and repeat steps 1 through 6.

Guide to image sizes:

Upload an image

Upload imageIf the image you want to use isn't already in your images folder, you can place it there.

1. Place your cursor where you want the image.

2. Click the Insert/Edit Image icon: image

3. Click the Browse Server button.

4. Navigate to your /images folder.

5. Click on the Browse button at the bottom of the window.

6. Locate the image that you want to upload. Click it once to select it and then click Open.

7. Type a title in the Set the title field.

8. Click Upload. You image is uploaded to your /images folder.

9. Select your image by clicking on the 1, 2, 3, 4, 5, 6, or full link.

6. Click OK.

The image is added to your page.

Insert a link

To link to a page outside of your site, such as the New Mexico Department of Tourism website:

  1. Highlight the text you want to turn into a link.
  2. Click the Insert/Edit Link icon: insert link
  3. In the URL field, type www.newmexico.org
  4. Click OK.

You don't need to add the external link icon to your external links because Plone does it for you!


To link to a different page inside of your site, such as your "About our Department" page:

  1. Highlight the text you want to turn into a link.
  2. Click the Insert/Edit Link icon: insert link
  3. Click the Browse Server button.
  4. Navigate to your "About our Department" page and click once to select it.
  5. Click OK.

Insert an e-mail link

  1. Type the e-mail address into your text, like this: mayor@cabq.gov.
  2. Highlight the e-mail address.
  3. Click the Insert/Edit Link icon: insert link
  4. Select E-Mail from the Link Type dropdown menu.
  5. Type the entire e-mail address in the E-Mail Address field, like this: mayor@cabq.gov
  6. Click OK.

Update contact information

  1. Contact InformationClick on the FULL CONTACT INFORMATION link below the contact information.
  2. Click the Edit tab.
  3. Make the necessary chages.
  4. Click the Save button.

Workflow - Making Your Page Live

Workflow: The process a page goes through, from writing and editing, to review and approval, to publishing to the live site.

When you have finished editing a page, you save it and submit it to your supervisor using the Submit option from the Status dropdown menu.  

Your supervisor is notified via email when you submit a page for review.

He or she edits your page, and then approves it by selecting Go Live from the Status dropdown menu.

Now the page is published to the live site at www.cabq.gov.
