ABSTRACT: OJP is responsible for responding to official correspondence received through the Executive Secretariat of the Department of Justice, who distributes correspondence for OJP attention through OJP's Executive Secretariat. OJP's Controlled Correspondence Tracking System (CTS) also tracks correspondence sent directly to OJP for appropriate handling.

PURPOSE: The CTS allows users to keep track of official correspondence during the entire time the correspondence is actively handled by OJP bureaus and offices. Additionally, the System provides OJP users with reporting and searching capabilities for both active and inactive correspondence.

ACCESS CONSTRAINTS: All records in the CTS are protected from unauthorized access through appropriate administrative, physical, and technical safeguards. These safeguards include use of passwords to restrict access to only those with a need to know to perform their duties.

USE CONSTRAINTS: Users of the CTS are restricted to only those privileges necessary to perform assigned tasks.

AGENCY PROGRAM: CTS provides the following services to the Office of the Assistant Attorney General (OAAG): management of official correspondence, trending and analysis of correspondence distribution, and reports (ad hoc and scheduled).

SOURCES OF DATA: The information contained in CTS is provided by OAAG personnel, the Office of Communications, and designated personnel in the various bureaus and offices.
