Timeframe for Application Preparation

This guide is intended to help you plan the timing of preparation of your grant application. Give yourself plenty of time to write the application—at least three to six months.

Planning Phase

  • Brainstorming your research idea with colleagues, etc.
  • Does the project fit within the Agency mission and criteria set forth in the specific grant announcement?
  • Are the aims of the project I am considering achievable?
  • Determine expertise needed for your research study team (individuals, collaborating organizations, resources, etc.).
  • Assemble the research study team.
  • Determine human subjects requirements.
  • Contact AHRQ program staff to present research plan and solicit feedback.

Writing Phase

  • Prepare outline following the application framework and structure described in the Form PHS 398.
  • Develop a timeline with draft application deadlines.
  • Prepare initial draft application.
  • Prepare the budgets, biosketches, other support sections, etc.
  • Solicit letters of support as needed.
  • Be sure to allow time for others to review, edit and proofread the application.

Submission Phase

  • Meet internal deadlines established by your institution.
  • Make sure the application is signed and dated by you (Principal Investigator) and by the designated institutional business official.
  • Make sure all check box items on the face page of the Form PHS 398 are completed.
  • Allow adequate time for your application to arrive by the appropriate receipt date.
