How to Submit and Manage a Building Profile

Building profiles provide the ability for you to create a "case study" of the steps that were taken to make a facility energy efficient. Within the building profile you can provide details about your ENERGY STAR project and specific physical improvements, a building photo, a description of communications efforts, and testimonials. These profiles are often used by the media and others to highlight our nation's leaders in energy efficiency. Profiles are published on our Web site in the list of ENERGY STAR Labeled Buildings and Plants (selecting the Building/Plant Name will display the profile.)

In order to create a profile, a facility must be benchmarked and have at least one submitted ENERGY STAR Labeled Building application. Portfolio Manager allows you to create a detailed profile which can be submitted to ENERGY STAR for review and publication once your ENERGY STAR label application is approved. In addition, the Building Data Administrator (the user that first created the Portfolio Manager account) may grant special access to other users to allow them to create and/or edit building profiles.

If a building profile is not created and submitted by the time your label application is approved, a brief list of basic information will display as your facility's profile (view sample).

Through Portfolio Manager, users can manage building profiles as follows:

Create a new Building Profile

Follow the steps below to Create a New Building Profile:

  1. From the My Portfolio page, select the name of the facility for which you wish to create a profile. The facility’s summary page will open.
  2. Select the Create New Building Profile link located on the right side of the page. (This link will not be available until a label application is submitted, and will only be available if the user has not previously created a profile.) The Create a New Building Profile page will open.
  3. Select on View EPA Sample Building Profile to see an example of a full building profile.
  4. Some information will automatically be pulled from the facility’s data in Portfolio Manager. Complete all applicable information including contacts, contract information and physical improvements.
  5. Enter the project description and optionally, communications information and testimonials. Text formatting can be applied to these three sections.
  6. To attach a photo, select the Browse button in the project description section. A dialog window will open.
  7. Use the dialog window to navigate to the directory where the photo file is located. Attach the photo file. Attached images must have the file extension .gif, .jpg, or .jpeg; photos will be resized to fit a space of 2.78 inches wide x 2 inches tall.
  8. Select the Save button. The Profile Save Confirmation page will display. If your application has not yet been approved, you may check the "Submit this profileā€¦" box to have this profile automatically submitted for review on label application approval. If your application has been approved you can choose to submit the profile now.

    Note: if your facility has an approved ENERGY STAR Label application, you may select the Submit to ENERGY STAR button on the Create a New Building Profile page instead of Save. Draft profiles can also be submitted from the Submit for ENERGY STAR Review link on the Manage Building Profiles page.

View the status of Building Profiles

The status of any building profile can be viewed from a Manage Building Profiles page. Follow the steps below to view the status of your profiles:

  1. From the My Portfolio page, select the name of the facility for which you wish to see the status of a profile. The facility’s summary page will open.
  2. Select the Manage Building Profiles link located on the right side of the page. The Manage Building Profiles page will open.
  3. The status column will indicate "Draft" if the profile has been created and saved and not submitted. If submitted for review, the status will show the status of the review: "Received", "Under Review", "On Hold", "Reviewed and Approved", or "Reviewed and not Approved". Last modified, submission and approval date sare also displayed.
  4. Select Return to Facility Summary to leave this page, or select one of the "action" links that are displayed (links will only be displayed if applicable according to the profile status):

View the Web version of a Building Profile

Three different types of profiles can be viewed in Portfolio manager. Follow the steps below to view each type:

Web version of a draft profile (only available if a draft profile exists):

  1. From the My Portfolio page, select the name of the facility for which you wish to view a profile. The facility’s summary page will open.
  2. Select the Manage Building Profile link located on the right side of the page. The Manage Building Profiles page will open.
  3. Select the View Web Version of Profile link.
  4. A new browser window will open and your draft profile will be displayed as it will look when published on the web.

Published profile (only available if an approved published profile exists):

  1. From the My Portfolio page, select the name of the facility for which you wish to view a profile. The facility’s summary page will open.
  2. Select the View Published Building Profile link located on the right side of the page.
    or
  3. Select the Manage Building Profile link located on the right side of the page. The Manage Building Profiles page will open. Select the View Published Building Profile link in the last column.
  4. A new browser window will open and display your profile exactly was it published on the web.

Basic profile display (only available if no approved published profile):

  1. From the My Portfolio page, select the name of the facility for which you wish to view a profile. The facility’s summary page will open.
  2. On the right side of the page, select the link for View information that will be published when your label application is approved.
  3. A new browser window will open and display the basic profile information that will display (or may already display) on the web site if you do not create and submit a full profile.

Edit a draft Building Profile

Follow the steps below to edit an existing building profile that has not yet been submitted to ENERGY STAR for review:

  1. From the My Portfolio page, select the name of the facility for which you wish to edit a profile. The facility’s summary page will open.
  2. Select the Manage Building Profile link located on the right side of the page. The Manage Building Profiles page will open.
  3. Locate the profile to be edited and select Edit Profile. The Edit Draft Building Profile page will open.
  4. Make any desired changes to field selections, project description, communications and testimonials.
  5. To attach a photo (or replace the photo already attached), select the Browse button. A dialog window will open.
  6. Use the dialog window to navigate to the directory where the photo file is located. Attach the photo file. Attached images must have the file extension .gif, .jpg, or .jpeg; photos will be resized to fit a space of 2.78 inches wide x 2 inches tall.

    Note: photos can also be uploaded and removed via links in the right column on the Manage Building Profile page.

  7. Select the Save button. The Profile Save Confirmation page will display. If your application has not yet been approved, you may check the "Submit this profile when my label application is approved" checkbox to have this profile automatically submitted for review on label application approval. If your application has been approved you can choose to submit the profile now.

    Note: if your facility has an approved ENERGY STAR Label application, you may select the Submit to ENERGY STAR button on the Edit a Draft Building Profile page instead of Save. Draft profiles can also be submitted from the Submit for ENERGY STAR Review link on the Manage Building Profiles page.

Submit a Building Profile for ENERGY STAR review

If the facility has received the ENERGY STAR (i.e., has an approved ENERGY STAR label application), draft profiles or updated published profiles can be submitted in any one of three ways as follows:

  • After creating a profile, editing a draft, or updating a published profile, the user can select on the Submit to ENERGY STAR button on the Create or Edit Building Profile page.
    or
  • After saving a draft profile, the user can select Submit to ENERGY STAR button on the Profile Save Confirmation page,
    or
  • From the Manage Building Profiles page, select the link in the right column for Submit for ENERGY STAR Review.

Update a published Building Profile

Follow the steps below to modify a profile that has already been approved and is published on the Web site:

  1. From the My Portfolio page, select the name of the facility for which you wish to edit a profile. The facility’s summary page will open.
  2. Select the Manage Building Profile link located on the right side of the page. The Manage Building Profiles page will open.
  3. Locate the profile to be edited and Select Update Approved Profile link. The Edit Published Building Profile page will open.
  4. Make any desired changes to field selections, project description, communications and testimonials.
  5. To attach a photo (or replace the photo already attached), select the Browse button. A dialog window will open.
  6. Use the dialog window to navigate to the directory where the photo file is located. Attach the photo file. Attached images must have the file extension .gif, .jpg, or .jpeg; photos will be resized to fit a space of 2.78 inches wide x 2 inches tall.

    Note: photos can also be uploaded and removed via links in the right column on the Manage Building Profile page.

  7. Select the Save button to save these changes and submit later. Select the "Submit to ENERGY STAR" button to submit the profile at this time.

    Note: Updated published profiles can also be submitted at any time from the Submit for ENERGY STAR Review link on the Manage Building Profiles page.

Delete a draft Building Profile

Follow the steps below to delete a draft building profile:

NOTE: Once a profile has been submitted for ENERGY STAR review, it can not be deleted.

  1. From the My Portfolio page, select the name of the facility for which you wish to delete a profile. The facility’s summary page will open.
  2. Select the Manage Building Profile link located on the right side of the page. The Manage Building Profiles page will open.
  3. Select the Delete Profile link in the row with the profile to be deleted. A confirmation page will open.
  4. Confirm the deletion.

Create/Edit a Building Profile Account

Follow the steps below to Create a Building Profile account:

  1. From the My Portfolio page, select the name of the facility for which you wish to create or edit a profile account. The facility’s summary page will open.
  2. Select the Manage Building Profiles link located on the right side of the page. (This link will not display until a draft profile has been created.)
  3. Select the Create/Edit Building Profile Accounts link located on the bottom left side of the page. The Building Profile Account Setup page will open.
  4. Type the name of the new account.
  5. Select the Save button. The facility’s summary page will open.
  6. To edit the account or add a user to the account, select the Manage Building Profiles link, then the Create/Edit Building Profile Accounts link. The Building Profile Account Setup page will open.
  7. Locate the account to be edited. Select the Edit Account link in the same row as the account’s name. The Edit Facility Profile Account page will open.
  8. Make any desired changes to the name or locate the user who is to be removed and select the box to the left of the user’s name.
  9. Select the Save button.
